Year-End Party Catering in Malaysia

When to hold your company year-end party in Malaysia, which four dates cost more, and what format fits…

Summary: A year-end party does not have to fall in December or look like Christmas. Four dates carry a 20% surcharge on the food plus double manpower: 24, 25 and 31 December and 1 January. From 2 January the loading is gone and so is the scramble for dates. Formats run from canapés to a full buffet, and every dish is cooked with 100% halal-certified ingredients.

Most companies book their year-end function in the same three weeks as everybody else, pay the holiday loading, and settle for whichever date was still free. Very little of that is necessary. The party marks the end of the year, not the 25th of December, and moving it by a fortnight changes both what it costs and what you can book.

When should you hold a year-end party in Malaysia?

Any date except four. Malaysian public holidays and their eves carry a 20% surcharge on the food menu plus double manpower charges, and the turn of the year contains two holidays back to back, which means four loaded dates rather than two.

Date Status
Thursday 24 December 2026 Christmas Eve — holiday eve, loaded
Friday 25 December 2026 Christmas Day — public holiday, loaded
Thursday 31 December 2026 New Year's Eve — holiday eve, loaded
Friday 1 January 2027 New Year's Day — public holiday, loaded
Saturday 2 January 2027 onward No holiday loading

The 31st catches people out more often than the 25th does. A company that deliberately avoided Christmas Day to save money, then booked New Year's Eve instead, has moved onto an equally loaded date.

Why is a January party cheaper than a December one?

Two reasons, and neither is a discount. The holiday loading simply does not apply from 2 January, so the same menu for the same headcount costs what it costs the rest of the year. And demand collapses: December compresses into about three weekends that every company in the Klang Valley wants, while the second week of January is wide open.

That second point is worth more than it sounds. In December the question is often which date is still available rather than which date you want. In January you choose.

Does a year-end party have to be Christmas-themed?

No, and in a mixed Malaysian office it often should not be. A year-end function is a company occasion rather than a religious one, and the menu can simply be good food rather than turkey and trimmings. Our everyday ranges cover it without a single festive dish: canapés for a standing reception, the Elite and Majestic buffets for a seated dinner, and the Party Box for a small team.

If you do want the season in the room, the festive menus are there on the Christmas catering page. The point is that it is a choice, not a default.

What format suits a year-end function?

Match the format to what the evening is for, not to the budget.

  • An awards night or a speech programme: a seated buffet, so the room is still while somebody is talking and eats in one movement afterwards.
  • A mingling party: canapés passed or stationed, so nobody is anchored to a plate and a table.
  • A daytime team lunch: bento or a light buffet, which clears quickly and does not end the working day.
  • A small team, no venue: a delivered party box onto a meeting-room table.

Course counts, inclusions and current prices are on each package page; they move with the season, so the page is the figure to trust rather than anything quoted elsewhere.

How far ahead should you book a year-end party?

Three days is the hard minimum for an order, but that is not the number that matters in December. The weekends before Christmas fill first, then the four loaded dates above, so a December Saturday realistically needs booking weeks out. A January date can be confirmed far later and still get the slot you asked for.

What should you confirm before booking?

  • The date, against the four loaded ones. Moving off them is the single largest saving available.
  • Headcount and the minimum attached to your menu. Portions are prepared on a 1:1 ratio against the number ordered.
  • Dietary coverage. Every dish is cooked with 100% halal-certified ingredients, and supplier documentation can be confirmed if your venue or HR team needs it on file.
  • Delivery and 6% SST, quoted as their own lines rather than folded into the per-guest rate.
  • Venue access — loading bay, service lift and the time window security allows.
